Welcome to the Anime Expo 2019 Fan Panel Application for Panel 1

Panel applications will close March 1st. Panel submissions will not be accepted after March 1st.

Fan panels are led by members of the community that represent community topics or represent the individuals of the community. This includes Cosplay(er) panels, fan discussion panels, academic panels, career focused panels, and culture panels.

By filling out this application, you are agreeing that you are 18 years old or older and are the representative/host of the applied panel. Your panelists do not have to be 18 years or older unless you are applying for an 18+ panel.

Panels that reference licensed properties in their titles will include "Fan Panel" in the title of the panel to avoid confusion with Industry run panels.

Fan Panel 1 Type
Please ensure that you have the rights to any material you present during your panel. These materials will undergo a tech-check at some time before your panel, during the days of the show.
Fan Panel 1 Length
Panels in the final schedule will appear as 60, 90, or 120 minute blocks.
The last 10 minutes of your panel are reserved for closing, cleanup, and transition to the next panel.

Audience members who attend this panel must be 18 years old or older and will be required to receive an 18+ wristband.

Equipment

The following equipment is provided for each panel room:

    You will be required to bring your presentation materials and equipment to the tech check. More details on the tech check will follow upon panel approval.

    Complementary (Comp) Badges and Additional Panelists

    Fan panels may receive complementary badges for their panelists at the discretion of the SPJA. Complementary badges may be granted upon the size and content of the panel.

    If you or your other panelists are already receiving an Exhibitor, Industry Creative/Professional, or other Badge type, per RFID policies, another badge cannot be issued under your name. See RFID Policies HERE

    Each individual must pick up their own badge. Please ensure that you have a government issued ID as well as your barcode you received upon registration in order to pick up your badges during the badge pickup times at show.
    For Additional Panelists:
    If selected, you will be required to fill this information out by May 15, 2019. While the application process closes March 1, 2019, you may return to your application to edit this information before May 15, 2019.

    Filming Location Agreement

    Are you planning to record footage of your panel for any of the following reasons?
  • Bonus content for home release (DVD/Blu-Ray)
  • Concurrent live-stream (outside of the AX Live-Stream)
  • Post-event streams
  • Television broadcast for non-press related reason (i.e. variety show, documentary, etc.)
  • Please be aware that the SPJA requires a signed Filming Location Agreement and a fee.
    Things that do not require a Filming Location Agreement:
  • Footage of assigned Exhibitor space
  • Footage captured outside AX event areas*
  • Event Recaps, Highlights, and/or Social Media Stories under 15-minutes total
  • Still photography

  • *Footage captured outside the Anime Expo event area (including but not limited to Los Angeles Convention Center, LA Live/AEG Properties, and JW Marriott) will require a separate filming location agreement by the respective building management. Some venues require specific location agreements. If you have any questions, please contact Marketing@spja.org.
    You are responsible for your own filming equipment and personnel. Badges for your video crew are not included as part of the Filming Location Agreement and must be purchased separately. You may apply for Industry/Professional badges or attendee badges prior to the deadline.

    Please be aware that SPJA will not provide press badges to photographers hired by industry to capture their panels. Please plan accordingly with your allotted badges and/or purchase an additional badge if needed.

    Materials to Bring:

  • Please bring backups in different formats for your materials. We are unable to extend panel times if there are any delays caused by compatibility issues.
  • Please bring functional equipment such as working laptops (we do not provide laptops).
  • Please bring these materials to your tech check.

  • Signed Waivers

    The following forms are required to be signed at the time of your panel check-in (30 minutes before the start of your panel). We are unable to accept these documents at any time prior to your check-in. They must be signed on site with a panel room team member as a witness.
  • Panelist Acknowledgement Form: Will be signed by one panel representative who is participating in the panel.
  • Panelist Waiver: Will be signed by ALL members of the panel.

  • These forms will be provided to you. Refusal to sign these forms at the time of the event will result in a cancellation of the panel. There will be no exceptions.

    Provisions for Panelists

  • We do our best to provide water bottles for our panelists, but we recommend bringing your own fillable water bottle to the show. Refill stations are available on every floor of the convention center for your convenience.
  • Parking: We are unable to cover parking expenses at this time. Please plan accordingly as adjacent parking structures and parking lots fill up quickly during events.
  • Please be aware that we are unable to cover hotel or travel expenses, meals, or grant priority access to other events at the show.

  • Prohibited Items

    Anime Expo's prohibited items list is based on the SPJA policies. Materials that are deemed potentially harmful to attendees and staff, damaging to property, or illegal are included in the list of prohibited items. Examples of prohibited items include, but are not limited to:

  • Aerosol Cans
  • Stilts
  • Weapons (Please see our "Weapons Policy" for more info)
  • Drones/UAVs
  • Illegal substances
  • Stickers/Adhesives Graphics (Keep them in your bags/pockets and off the walls/floors of the Event Facilities)
  • Confetti/Loose Glitter (Glitter used on your cosplay is okay)
  • Flammable Liquids
  • Open-flame use
  • Any activity prohibited by law and/or prohibited by any Event Facilities
  • All signs, whether for a cosplay prop or not, are prohibited unless approved in writing for use by Event Staff
  • Non-service live animals
  • Helium and mylar balloons
  • Lasers or similar items
  • Coolers
  • Oversized backpacks/bags: No bags over the airplane carry-on size are permitted. As a point of reference, the size limit for a standard airplane carry-on is 22" X 14" X 9". All bags, regardless of size, are subject to inspection at any time.
  • Non-ADA approved motorized vehicles (i.e. go-karts or kids' battery operated vehicles)
  • Wheeled carts/wagons

  • If your panel requires specific materials that are of concern, please specify them below. Should you have any questions regarding the materials you would like to bring in order to host your panel, please email programming@spja.org.

    Cancellations:

    Please submit notice of your cancellation via email to Programming@spja.org no later that one month prior to the event (June). If your panel is cancelled, then SPJA may replace that time slot with another panel from the waitlist.

    Last minute panel cancellations may affect your application in the future.

    All complementary badges registered for panelists of a cancelled panel will also be invalidated.

    Waitlist:

    SPJA will not accept any new panel applications during Anime Expo.

    In order to be considered to replace a cancelled panel, you must have already submitted an application prior to the deadline (March 1st) and must have received an e-mail letter stating that you are on the Waitlist. Only those who have been placed on the Waitlist will be considered for replacing a panel that was cancelled.
